AI agents and business knowledge: turn a product update into an operating plan

What the current product material tells us
UChat’s AI Agent feature page describes a Business Knowledge Hub and configurable boundaries for agents. Its customer-support guide was reviewed on 28 August 2026. Together, these are useful current references for a knowledge-based support project; neither date establishes a new feature launch on the date of this article.
This briefing was reviewed on 16 September 2026. Our recommendation is to treat business knowledge as an operating responsibility: someone must decide what information is approved, when it expires and what should happen when an answer is missing.

Give every important answer an owner
For an illustrative business-services firm, start with the questions staff answer every week: service coverage, onboarding steps, document requirements and support hours. Assign an owner to each topic. A sales manager may own service descriptions while an operations manager owns preparation requirements.
Keep a small register with the approved wording, source document, last review date and person responsible. If two documents disagree, resolve the conflict before using them in customer conversations. Adding more material does not automatically produce a clearer answer.
Separate explanation from live facts
A knowledge resource can explain a standard process. It should not be treated as proof that a particular customer’s request has been approved or that a specific item is currently available. Define which answers need a verified system lookup or a human decision.
When the required information is absent, give the assistant a useful response: state what is known, identify what needs checking and offer the appropriate follow-up. This is more helpful than a confident answer assembled from nearby but unrelated information.
Build a review set from realistic questions
Prepare a compact set of questions covering ordinary requests, outdated information, ambiguous wording and topics outside your service scope. Include English, Traditional Chinese and Simplified Chinese variants where your customers use them. Have the topic owner judge whether each answer preserves the intended meaning.
When a policy changes, revise the approved content and rerun the relevant questions before release. Keep the previous wording available for internal comparison. Track recurring unanswered questions as editorial work for the responsible owner, not merely as chatbot errors.
Make maintenance part of the service scope
Agree who can publish changes, how urgent corrections reach the system and how often the team reviews unresolved enquiries. The operating plan should fit the company’s actual staffing. A simple review routine that happens consistently is more useful than an elaborate process no one owns.
