The guide presents voice as another way to handle a conversation, including human involvement when needed. Look for a conversation that benefits from voice
Consider an illustrative service company helping a customer describe an installation problem. A short voice interaction may be easier than typing a complicated description. By contrast, an address, reference number or set of written instructions may be clearer in text. Design a journey that lets the customer use the suitable format.
A sensible first pilot could handle one inbound enquiry type during staffed hours. Decide what the voice interaction should accomplish and which requests must immediately reach a person. Avoid beginning with a broad promise that the assistant can solve every service problem.
Prepare the move between AI and a person
Write a short introduction that explains who or what is responding. Give the customer an understandable way to ask for human help. The receiving staff member should know the reason for the call, the information already gathered and the action still needed.
Plan what happens when no one can take over. An approved follow-up route with clear expectations is more useful than repeatedly asking the customer to wait. Test this path with staff before connecting customers to it.
Test listening, context and operational limits
Use rehearsals with background noise, unfamiliar names, mixed languages and interrupted sentences. Check whether key details are repeated back accurately. For any action affecting an appointment or order, the final confirmation should be understandable to the customer and visible to the team.
Agree how call records and any recordings will be handled before launch. Confirm the account’s calling permissions and the rules relevant to the intended use with the platform documentation and responsible business team. Do not assume an inbound conversation authorises every later outbound call.
Decide whether the pilot deserves expansion
Review incorrect interpretations, unsuccessful transfers, abandoned calls and cases that required a second contact. Compare voice with the existing service path for the same enquiry type. The question is whether customers and staff complete the task more reliably, not simply whether the AI can hold a conversation.
