Multilingual B2B enquiries: route the opportunity, not just the language

A practical way to connect English, Traditional Chinese and Simplified Chinese enquiries with the right sales owner.

A fluent reply is only the first step

An illustrative equipment supplier receives English website enquiries, Traditional Chinese WhatsApp messages and Simplified Chinese social enquiries. Answering in the customer’s language is helpful, but the commercial task is broader: understand the requirement, identify the right specialist and preserve what was agreed.

Separate language, market and ownership

Let customers state their preferred language and correct it during the conversation. Do not infer territory, company location or purchasing authority from the script they use. A Traditional Chinese enquiry could come from an overseas buyer; an English message could belong to an existing local account.

Route using explicit business facts: product family, requested service region, existing account status and the type of help needed. Decide which rule wins when more than one sales team could own the enquiry. A named fallback owner prevents opportunities from sitting between departments.

Use a shared vocabulary with local wording

Create a short glossary for product names, units, warranty terms and common commercial phrases. Keep identifiers consistent across languages while allowing natural wording in each version. Ask a subject specialist to review examples where a small translation error could change what the customer expects.

AI can help turn a long message into a draft needs summary. Preserve the original customer wording beside uncertain details. If the buyer says “roughly 50 units,” the summary should not quietly become a confirmed order for 50 units.

Make the sales handover actionable

For a quotation enquiry, agree the minimum useful handover: requested product or outcome, quantity if known, delivery region, timing, preferred language and contact route. Distinguish a customer’s target date from a delivery commitment made by your company.

Give the receiving salesperson a clear next action and a way to reject or reroute a misclassified enquiry. Feedback should improve the workflow rather than disappear into private messages. Pricing exceptions, contracts and specialist suitability questions should reach the appropriate human decision-maker.

Review quality by language and journey

Sample enquiries in all three languages, including mixed-language messages and technical abbreviations. Check whether the correct team received the lead, whether the summary preserved uncertainty and whether the customer had to repeat important details. Compare like-for-like enquiry types instead of ranking languages by raw conversion rate.
